The directors of Law.jobs are responsible for ensuring that this notice is made available to data subjects prior to the collection/processing of their personal data by Law.jobs. All employees and representatives of Law.jobs who interact with data subjects are responsible for ensuring that this notice is drawn to the data subject's attention and that their consent to the processing of their data is secured.

In cases where you follow a link to a third-party website, you are no longer covered by this Privacy Policy, and any data collection or processing activity that takes place on that third-party website will be governed by their privacy policy.

 

Scope

This privacy policy applies to all data subjects whose personal data is collected, in line with the requirements of the General Data Protection Regulation (GDPR).

In cases where you follow a link to a third-party website, you are no longer covered by this Privacy Policy, and any data collection or processing activity that takes place on that third-party website will be governed by their privacy policy.

In all jurisdictions, if you are under the age of majority in your jurisdiction, you must use this website under the supervision of your parent, legal guardian, or responsible adult. Law.jobs does not intentionally or knowingly process or store data relating to minors (persons under the age of 18 years or age of majority in relevant jurisdiction). If details relating to minors are inadvertently collected, we will make every effort to delete such details.

Who is responsible for your Personal Data

This section explains when Law.jobs is a controller or a processor of your Personal Data, and which entity is responsible for your Personal Data.

For Candidates:

  • Law.jobs may be a processor of Job Application materials you submit through this website, these data are controlled by the Recruiter to whom you submit the Application to.
  • Law.jobs is a controller of all other information you provide during your use of this website.

For Recruiters:

  • Law.jobs may be a processor of Job Applications submitted by Candidates through this website. Recruiters control the Job Applications data you receive through this website.
  • Stripe is the payment processor on Law.jobs, which collects your payment card details to facilitate payment, but Law.jobs will never store your full payment card number. If you choose to store your payment card details for future purchases, the data will be stored on Stripe, and Stripe is the controller of this data. Upon completing a purchase, partial card numbers and card expiry date will also be collected and stored by Stripe, which is accessible by Law.jobs via Stripe's system.
  • Law.jobs is a controller of all other information you provide during your use of this website.

Information we collect or use

Law.jobs uses different types of information to provide services, products, and features to you. The Personal Data we collect and process may vary, depending on how you use this website.

Candidates

The Personal Data we collect from you or use for the operation of customer accounts and to provide services on Law.jobs may include some or all of the following:

  • Name and email address
  • Profile details including current location, current job title, current annual salary, current PQE, countries with work authorisation, willingness to relocate, curriculum vitae document and cover letter
  • Job Applications and their content including curriculum vitae document, any additional documents and cover letter
  • List of Job Listings you have applied to
  • Draft Job Applications
  • Saved Job Listings
  • Job Alerts

The Personal Data we collect from you or use for service updates or marketing purposes may include some or all of the following:

  • Name and email address
  • Marketing preferences
  • Records of consent, where appropriate

Recruiters

The Personal Data we collect from you or use for the operation of customer accounts and to provide services on Law.jobs may include some or all of the following:

  • Name and contact details (Contact email address and telephone number)
  • Job title
  • Department
  • Location
  • Credits amount
  • Business registration or identifications that prove your business is legitimate
  • Payment card details
  • Billing address
  • Purchase history
  • Company profile details including company name, type, website, industry, size worldwide, company establishment year, company description, head/branch offices (locations and contact details), and contact person (name, title, department, and contact details)
  • List of Job Listings drafted, posted and/or closed
  • All details included in Job Listings, including post dates

The Personal Data we collect from you or use for service updates or marketing purposes may include some or all of the following:

  • Name and contact details (Contact email address and telephone number)
  • Marketing preferences
  • Purchase history
  • Records of consent, where appropriate

Information we do not collect

We do not track or collect any sensitive information about you, such as your race, religion, ethnicity, political opinions, philosophical beliefs, trade union memberships, genetic data, biometric data, sexual orientation, or health data.

For Recruiters, when Recruiters make purchases and opt to save payment card details for future purchases, such full payment card details will only be stored by our payment processor, Stripe, and will not be accessible by Law.jobs. Upon completing a purchase, partial card numbers and card expiry date will also be collected and stored by Stripe, and Law.jobs may access it via Stripe's system in particular situations including but not limited to verification or customer service. More information can be found in the "Why and how we use your data" section below.

Data protection rights

At any point while we are in possession of or processing your Personal Data, you, the data subject, have the following rights:

  • Right of access – You have the right to request a copy of the information that we hold about you. Law.jobs may only respond with personal data that we hold, Candidates can also make separate requests directly to Recruiters for personal data that they hold. There may be some exemptions which means you may not receive all information you ask for.
  • Right of rectification – You have the right to correct data that we hold about you that is inaccurate or incomplete.
  • Right to be forgotten – In certain circumstances you can ask for the data we hold about you to be erased from our records.
  • Right to restriction of processing – Where certain conditions apply you have a right to restrict the processing of your data.
  • Right to object to processing – You have the right to object to certain types of processing such as direct marketing.
  • Right of portability – You have the right to have the data we hold about you transferred to another organization or to you.
  • Right to withdraw consent – When we use consent as our lawful bases, you have the right to withdraw your consent at any time.
  • Right to judicial review: In the event that Law.jobs refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined in the "Complaints procedure" section.
  • All of the above requests will be forwarded on should there be a third party involved in the processing of your personal data.

If you make a request, we must respond to you without undue delay and in any event within one month. To make a Subject Access Request, please contact us using the contact details in the "Contact details" section.

Why and how we use your data

We will only use your personal data for certain specified reasons and only where we have a lawful bases to do so. Which lawful bases we rely on may affect your data protection rights set out in brief above.

Lawful bases

This section explains what the lawful bases we rely on for processing your personal data mean.

Contract – We collect or use the personal data you have submitted so to carry out a contract with you. All of your data protection rights may apply, except the right to object.

Legitimate interests – We're collecting or using your information because it benefits you, our organization or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability.

Data retention

We will retain your data until it is no longer necessary to fulfil the purpose it is being used for, as required by applicable laws, or until you request for us to delete it. Information on how long we retain your information for each purpose can be found below.

All users

Account creation and management

When you register an account with us, we will use the details you submitted to create an account and provide the services you have agreed to receive. We may also send you account-related emails, such as password reset emails.

Legal bases: Processing account management data is a performance of our contract with you.
Retention period: Account lifetime or per applicable legal requirements.

Customer service

Handling all enquiries or complaints over email or phone.

Legal bases: Processing this data is a performance of our contract with you, and we rely on our legitimate interests to provide you with good customer service.
Retention period: 10 years.

Candidates

Profile creation and display

Providing you a Profile page to enter your information and displaying them to Recruiters whose Job Listings you have applied to.

Legal bases: Processing Profile data is a performance of our contract with you, and we rely on our legitimate interests to provide good services and features to you.
Retention period: Account lifetime.

Manual Matching

Including your curriculum vitae documents and Profile information in a database only accessible by Law.jobs, to be processed and attempt to manual match you to open Job Listings posted by Recruiters.

Legal bases: Your consent is required for this data to be included in Manual Matching. You may revoke this consent anytime by visiting your Profile page.
Retention period: Your revoke of consent or account lifetime.

Job Applications

Receiving and processing your Job Applications, and sharing them with the Recruiter you submitted the application to.

Legal bases: Processing Job Applications data is a performance of our contract with you, and we rely on our legitimate interests to provide relevant services to you.
Retention period: Account lifetime.

Saved Jobs, Applied Jobs and Draft Applications

Storing and displaying a list of your Saved Jobs and Applied Jobs, and storing and providing the ability to edit Draft Applications.

Legal bases: Processing and displaying bookmarked Jobs data is a performance of our contract with you, and we rely on our legitimate interests to provide relevant services to you.
Retention period: Account lifetime.

Active Job Alerts and Law.jobs marketing emails

Sending you emails of Job Alerts you have created, according to the criteria you have set. Sending you marketing emails, including Law.jobs newsletters or emails about Law.jobs' services and products.

Legal bases: Your consent is required to be sent Job Alerts and marketing emails. You may revoke this consent anytime by visiting Job Alerts page or account email settings page. We rely on our legitimate interests to provide you with marketing communications where we may lawfully do so.
Retention period: Account lifetime.

Recruiters

User information

User information may be used to verify you and your company's legitimacy, or to contact you to obtain further verifications. Email addresses may be used to send purchase confirmation emails upon completing a transaction. If you have separately consented to Marketing and/or Sales emails from Law.jobs, your user information may also be processed for communications and to find the best products suitable for your use.

Legal bases: Processing user data for verification is in our legitimate interests to operate a safe and lawful business or where we have a legal obligation to do so. Contact details processed for sending purchase confirmation emails is a performance of our contract with you. Upon separately consenting to Marketing and/or Sales emails, we rely on our legitimate interests to contact you and provide you with suitable products where we may lawfully do so.

Retention period: Account lifetime.

Business verification

Law.jobs may contact you for further business verification where needed.

Legal bases: We rely on our legitimate interests by verifying the legitimacy of your business to operate a safe and lawful business or where we have legal obligation to do so.
Retention period: Account lifetime. Copies of individuals' identity documents are deleted once identity has been verified.

Company profile creation and display

Providing you a Company Profile page to enter your company's information and displaying them to Candidates who would like to learn more.

Legal bases: Processing Profile data is a performance of our contract with you, and we rely on our legitimate interests to provide good services and features to you.
Retention period: Account lifetime.

Job Listings

Providing "Save as draft" functionality, publishing Job Listings, displaying Job Listings in search results and relevant locations (such as on the homepage), displaying a history of Job Listings in your back end system.

Legal bases: Processing Job Listings data is a performance of our contract with you, and we rely on our legitimate interests to provide good services and features to you.
Retention period: Account lifetime.

Manual Matching

Your Company Profile information and Job Listings details may also be processed for Manual Matching.

Legal bases: We rely on our legitimate interests to provide good services to you.
Retention period: Account lifetime or when Job Listings close/expire.

Payment processing

Payment information including card details and billing address are used to complete payment for a chargeable service, these information will be collected and processed by our payment processor, Stripe. Upon purchase completion, partial card numbers and card expiry date will also be collected and stored by Stripe, and Law.jobs may access it via Stripe's system in particular situations including but not limited to verification or customer service. Your billing address and purchase history may be safekept for business records and taxation requirements, or to facilitate due process and provide information in response to valid legal processes. If you have separately consented to Marketing and/or Sales emails from Law.jobs, your purchase history may also be processed to find the best products suitable for your use.

Legal bases: Processing your payment details to complete a transaction is a performance of our contract with you. Your partial card numbers and card expiry date may be accessed and processed to provide you customer service, which is performance of our contract with you, and we rely on our legitimate interests to provide you with good customer service. Your billing address and purchase history may be processed to comply with our legal obligations with respect to financial reporting and valid legal information requests. Upon separately consenting to Marketing and/or Sales emails, we rely on our legitimate interests to provide you with suitable products where we may lawfully do so.

Marketing and sales emails

Sending you marketing and/or sales emails, including Law.jobs newsletters or emails about Law.jobs' services and products.

Legal bases: Your consent is required to be sent marketing and sales emails. You may revoke this consent anytime by visiting account email settings page. We rely on our legitimate interests to provide you with marketing communications where we may lawfully do so.

Retention period: Account lifetime.

Information from third parties

Applicable to Recruiters only: As part of our ongoing efforts to reach out to new recruiting companies, law firms and/or recruitment agencies/agents, we may sometimes legally acquire data from third parties (such as list brokers and researchers who have gathered this information lawfully) and from secondary sources such as online directories, social media platforms and company websites where contact information has been deliberately made available in the public domain.

Who we share your data with

Transfers of Candidates' information to Recruiters

Law.jobs sends Candidates' Personal Data to Recruiters under the instructions of Candidates. Such transfers are performed in the course of job applications, and is processed in accordance with Law.jobs' Terms and those of relevant Recruiters. This transfer may include sending your application details, curriculum vitae document, any additional documents, cover letter, and Profile information to the relevant Recruiters you have applied to.

Recruiters agree to comply with all their responsibilities under applicable data protection and privacy laws with respect to collecting, processing and storage of Personal Data, and providing adequate data protection rights.

Transfers of Recruiters' information to Candidates

Law.jobs shares certain Recruiter information with Candidates, including published Job Listings and Company Profiles that have been made public.

On transferring of information with third parties

We will never sell your Personal Data to third parties, but it may sometimes be necessary for us to share your data with reputable third parties (for example data storage companies and payment processing companies) in order to deliver the product or service you have requested from us. Any third parties that we share your data with are obliged to keep your details securely. When they no longer need your data to fulfil this service, they will dispose of the details in line with Law.jobs' procedures. If we wish to pass your sensitive personal data onto a third party we will only do so once we have obtained your consent, unless we are legally required to do otherwise.

Keeping your information safe

We take information security seriously and have policies and procedures in place to ensure the information we hold on you remains safe. Our user database and customer relationship management system is stored on a cloud server operated by Zoho Corporation, a multinational business software development company, and our websites and accompanying data are hosted by DOOD Limited, a Hong Kong-based web design and hosting company.
